Create a customer invoice
Build a customer invoice with line items, currency, exchange rate, tax settings, discounts, and payment terms.
Use New Invoice when you need to prepare a customer-facing invoice for products, services, custom work, or another billable item. Review customer, line items, taxes, dates, collection method, currency, exchange rate, and totals before creating the invoice.
Select the customer
- Open Invoices.
- Choose New Invoice.
- In Customer, select the customer who should receive the invoice.
- Confirm the customer record before adding invoice details.
Add line items
Use Line Items to add what the customer is being billed for. Choose the line type, select a product or enter a custom line, add a description, quantity, unit price, and discount type when needed. Use Add Item to add another line, and remove a line if it should not be included.
The invoice totals update from the line items. Review subtotal, tax, total, and amount due before creating the invoice. Tax can be calculated on save depending on the tax settings and customer address context.
Apply promotions or codes when needed
Use Browse promotions to choose an available promotion, or Enter code when you need to apply a code manually. Review the total after applying a discount so the amount due matches the invoice you intend to send.
Set currency and collection method
In Settings, choose the invoice Currency, Payment Terms, and Collection Method. When the invoice currency needs conversion, review the exchange-rate panel, rate direction, Auto mode, and Refresh action before saving. If the collection method is Send Invoice, the invoice can be sent without a payment link and the customer may pay manually by bank transfer, cash, check, or another supported offline method.
Set invoice dates
Use Dates to set the Issue Date and Due Date. The due date can be auto-calculated from the selected payment terms, but you should still review it before creating the invoice.
Review tax settings
Tax Settings can include automatic tax calculation, tax exempt treatment, manual tax-rate override, and prices-include-tax behavior. Review these settings carefully because tax treatment can depend on customer address, invoice lines, registrations, and configured tax behavior.
Add notes, footer, and terms
Use Notes & Terms for the customer-facing memo, internal notes that are not visible to the customer, footer text such as company registration information, and payment terms or conditions.
Review source details and create the invoice
Use Source to review why the invoice was generated, such as Manual. When customer, line items, settings, dates, tax settings, notes, and totals look correct, choose Create Invoice.
